Stalham High School
The Case Study below is indicative of the service levels provided by Hedley Solutions Ltd to Schools throughout Norfolk as part of our ongoing relationship with Norfolk ICT Solutions.
The Hedley Solutions Project Manager carried out a survey of the existing IT Infrastructure at Stalham High School. A thorough survey was carried out, documented and forwarded to the Norfolk County Council ICT Solutions team representative.
Hedley Solutions then received a verbal enquiry from ICT Solutions Representative of the N.C.C ICT Solutions team regarding Stalham High School to see if we would be interested in carrying out the upgrade work recommended in our survey document. A meeting was arranged on site to discuss this further and survey the School specifically with regards to the additional works required.
Documentation was received from the School detailing the Schools cabling requirements (outlet numbers and locations) on which the final design could be based and a further meeting was arranged with ICT Solutions Representative to clarify the final scope of our works.Based upon the survey, the documentation received from the School and the meetings with ICT Solutions Representative our proposal and quotation was prepared and issued to the client in July 2004.
In July 2004 an order was received from ICT Solutions to proceed and working drawings were created.
After consultation between Hedley Solutions and Client, It was agreed to phase the work into 2 time periods, with the infrastructure work, cabinets, backbone, network hardware and re-cabling of existing outlets being carried out in the first phase and this was confirmed verbally with the School before the end of term.
The Hedley Solutions Project Manager met with our Engineers on commencement on site and our installation work commenced in earnest, with 4 directly employed Engineers including our site supervisor and the works continued with this resource level the end of the Summer Break when the pupils returned.
During these works it came to there attention that additional dado trunking would be required in the ICT suite and the client was made aware of this and the associated cost were accommodated within the contract sum.
Although delays were experienced with certain deliveries the milestone of achieving all the infrastructure work completed by the start of term was successfully achieved.
In the October 2004 the Hedley Solutions Project Manager attended a meeting at the School with the Schools ICT co-ordinator and a representative from ICT Solutions (NCC). Feedback from the School regarding our work was very positive and they were more than pleased with the efforts made by our engineers to provide a working system prior to the start of term.
During our meeting it was established that we would have only 7 week days over half term to complete our remaining installation work including all the new data outlets and power sockets. Bearing this in mind the Hedley Solutions stressed to the School there was a lot to do in a short space of time and that they would require unlimited access over the half term break (i.e. late nights and weekend working).
Once the time period for the work was established, the Hedley Solutions scheduled sufficient resource to complete the works within the limited time scale allowed.
A revised drawing was created, detailing the minor revisions brought to the Hedley Solutions attention during the meeting with the School and this was issued to the Engineers.
Work commenced on site and was completed during the half term period. Although the School was warned that some work might be still being undertaken during the following week (in term time) this was not required.
All the Hedley Solutions works being completed the finalised project delivered under budget costs, were submitted ICT Solutions and record documentation prepared.
The School later spoke to the Hedley Solutions requiring some additional works and after consultation with ICT Solutions we’re they explained that there was currently a budget freeze on all spending as an overspend situation was envisaged. The Hedley Solutions Project Manager pointed out that that the additional cost of the work required was within the original budget and on this basis we were instructed to proceed with the additional work.
These additional works were completed “out of term time” during the Schools Christmas Break.
The Hedley Solutions had completed the entire project within the time scales agreed, with no disruption to the Schools activities, accommodated additional work within the budget, to the total satisfaction of the Client (Norfolk ICT Solutions) and the School.
Nuala McDonnell of Norfolk ICT Solutions commented:
